Sample Script for Installation of Club Officers in a Toastmasters Club

If you are asked to the install club officers of a toastmasters club, you may be wondering "How do I install the club officers?". Here is a  sample script which you can use for the Installation of Club Officers in a Toastmasters Club.

My fellow Toastmasters & Guests, today’s Meeting of the _____________________________ Toastmasters Club is not just a special meeting, but a momentous one. The current leaders are moving on to make way for a new set of leaders. It is now time for a change-of-guard in the Club and it is my honour to install the new set of Club Officers for the current term.

 VP Public Relations                              , The duties of the Vice President Public Relations are to promote the club to the local media, spread the word about membership programs, and attend Toastmasters events.  VP Membership                                       , as the Vice President Membership, your duties are to conduct ongoing membership-building programs, explain the educational program to prospective members and ask them to join, and follow up on new members and absent members.  VP Education                                           , The duties of the Vice President Education are to plan successful meetings to help members achieve their educational goals, orient new members to the Toastmasters program as soon as they join, and monitor members' progress. Sample Script for Conducting Club Elections


If you are a club nominations committee chairman and if don't have any clue of "How to conduct a club election in a toastmasters club", the following template will help. 

You can also look at the Sample email requesting for club officers nomination which has to be sent to the club mailing list, when you are planning for your club elections.

  • Elections for the ______________ club officer term will now commence.

  • For each position, I will call for nominations/any additional nominations 3 times.

  • After I have called for nominations 3 times, I will declare nominations closed.

  • If there are no candidates for a position, I will instruct the club executive to search for a candidate and hold elections for that position at a later date.

  • If there is only one candidate for a position, I will advise the Secretary to cast the deciding ballot.

  • If there is more than one candidate, each individual will have the opportunity to speak for 2 minutes; we will then hold a secret ballot that will be counted by <2 a="a" for="for" individuals="individuals" not="not" position="position" running="running">. The winner will then be announced.

Nominations will be in the order below:
    1. President
    2. VP Education
    3. VP Membership

Club Elections - Sample email requesting for nominations


You can find below a sample email that is sent out by the club nominations committee chairman, requesting nominations from candidates for various club officer posts.

Hello friends,
Toastmasters is an organisation for the development of public speaking and leadership skills. Public speaking opportunities are available every week as roleplayers, speakers or evaluators. Leadership opportunities are available as members of the Executive Committee,
·         ensuring the smooth running of the club,
·         interacting with other clubs in the Area,
·         organizing contests and special events
·         ensuring the club meets the Distinguished Club Programme goals
Clubs which meet on a weekly basis go in for a round of elections every six months, while those who meet fortnightly do so every year.
It's time for change of guard at ____________ Toastmasters Club, and I have been given the privilege of being the Nomination Committee Chairperson for the term July 201?December 201?. Toastmaster XYZ (xyz@gmail.com) has kindly agreed to help me in this role. 

Nominations are now open for:
  • President
  • Vice President -Education
  • Vice President- Membership
  • Vice President -Public Relations
  • Treasurer
  • Secretary
  • Sgt. @ Arms
  
Procedure:
  • Members can nominate another member with their consent.
  • Member can also make a self nomination.
  • Both nominated and nominating members need to be a member in good standing. Member in good standing means those who have paid their membership dues and marked ‘Active’ in the TM Membership Roster.
  • New members who have received their membership No. from TMI HQ are also eligible to nominate / vote.
  • Nominated members can call up and speak to the Nominations Committee Chair alone for clarifications on the Election Process.
  • The Nominations shall be sent to the Nominations Committee only, not to anyone else.
  • Once the nominations are received, the Committee will review the nominations and send out the slate to the members of the club.
  • The slate will contain one name for each post, which will be proposed by the Nominations committee after they interview the candidates. However this may only be a suggestion and all other nominationswill also be published.
  • For any post if more than one nomination is received, an election process shall decide the winner.
  • If for any post only one nomination is received, that candidate shall be declared winner on the day of the election.
  • If only one nomination is received for every position, this constitutes a ‘slate’and  the committee can be elected thereof.
  • At any point of time, only the candidate may withdraw his/her nomination, even if this candidate wasnominated by another member.
  • Any candidate may be nominated for more than one post, however he/she may take over only one officer role, even if he/she wins both the officer roles
  • During the propaganda period, a candidate is alone allowed to do propaganda; he/she may seek support only from members of ______________ Toastmasters Club.
  • The candidate may seek support via email/sms/phone and may also send his/her action plan for the upcoming term to the members.
  • The Nominations Committee is entitled to interview the candidates, but shall keep the results with them alone.
  • No other member of the club, area, division shall be allowed to interview the candidates or do propaganda on the nominee’s behalf.
  • During the Propaganda, the nominees shall take utmost care that other nominees, present and future leaders of the clubs are not hurt.
  • The Nominations Committee alone shall release the final list of candidates on 04.06.2011
  • On the day of the election, unless 51% of the clubs members are present (including the nominatedmembers), the election shall be called off and a new election date shall be announced.
  • The members present then constitute the quorum for the meeting.

It should be noted that those are expected guidelines. The final Executive Committee once elected, has the right to determine responsibilities for each of the post within the framework of Toastmasters International byelaws.
Here are the guidelines that the Nominations Committee shall be following during Interviews:
Reliability
  • Has the member been dependable?
  • What kind of attendance do they have?
  • Do they arrive on time for club meetings?
  • Is it easy or difficult to communicate with them?
  • Do they return telephone calls etc.?
  • Do they fulfill their assignments on the schedule?
Performance
  • If they held a club office in the past, did they do a good job?
  • Were they committed to serving the members throughout their term as opposed to just filling the spot?
Qualification
  • Some leadership positions in the club require experience before a member can successfully assume the position. For example, the club president should know and understand what it takes for the club to function properly and maintain Toastmasters International standards.

We have had a policy for many years that before becoming Club President a member must serve successfully as Vice President of Education.
For Vice President of Education a member must have demonstrated acceptable performance in one or more club officer positions.
Experience has shown that a member who performs poorly in one or more positions of club leadership also performs poorly in subsequent positions. 
Members who have never held a Club office
Toastmasters International requires that clubs provide all members with the opportunity to become a Competent Leader and/or Advanced Leader. They must have held a club office to obtain these Toastmasters leadership awards. The nominating committee strives to meet this requirement. This also provides future nominating committees with a basis for evaluating performance when deciding whom to include in a slate.
Toastmasters Promise
Every Toastmaster makes a promise upon acceptance into the organization. This promise includes 10 things that a Toastmaster agrees to do upon becoming a member.
The nominating committee discusses how well a member meets this promise. Things a Toastmaster agrees to but is not limited to are attending meetings regularly; fulfilling meeting assignments; treating fellow members and guests with respect and courtesy; adhering to the guidelines and rules for all Toastmaster programs; maintaining honest and highly ethical standards during the conduct of all Toastmasters activities.

Do toastmasters really help in making official presentations effective?

A young toastmaster working for a software/IT firm asked "Do you think the skills gained in Toastmasters help when we make technical presentations at work?". 

Well, the fundamentals are the same. Irrespective of the 'content' of your presentation, you need to connect with your audience by making eye contact, you should use proper hand gestures & vocal variety to gain/retain audience attention. Even when preparing technical slides, you should make them easier to read and have just 2 or 3 main points per slide. You should always look at your audience and shouldn't show your back. Your presentation should always have a strong introduction & conclusion.

These simple tips that we learn in toastmasters help us irrespective of whether we make a technical or non-technical presentation. The effectiveness of your technical presentation increases by many fold when you incorporate all the skills that you gain in toastmasters. So, the next time you make a technical presentation at work, do not forget to incorporate your "Toastmasters" learning.

How to stop being nervous before/during the speech?

Do you feel nervous when you are in the stage? It is perfectly normal to be nervous before delivering a speech, no matter how many times you have spoken before.  There are some simple tips to avoid being nervous during your speech:
  • show up early and get to know the people/speaking environment better. Familiarity of people/environment helps you to minimize your nervousness.
  • check whether your props (including projector, computers) are working fine before the meeting. This will avoid unwanted last minute frustrations.
  • take a few deep breaths and exhale slowly, before your speech. This relaxes your body, helping your blood pressure to lower and your mind to clear. This will enable free flow of words when you start to speak.
  • have your opening memorized and it will help to break the ice and get you rolling
If you make mistakes during your speech, because of nervousness, don't stop speaking and don't apologize. Remember that the audience wants you to succeed. They will feel your pain too, and they will understand what you are going through.

Do you have an elevator pitch to introduce yourself?  You get to meet a lot of new people at work, social gathering and in your day to day life. How many of them can remember you, your name, your background etc.,? For example, you accidentally get to meet your company CEO in the elevator and you have to introduce yourself in a few seconds (i.e., before the elevator reaches the top floor). Your introduction should be in such a way that your CEO remembers you forever. Your introduction has to be very appealing and different from the standard "I'm Thomas and I work for XYZ group". How would you frame your introduction, differently? Think about it. Have an Elevator pitch handy so that people can easily remember you. Small things make perfection, but perfection isn't a small thing


How many of you have written pages & pages of essays during your school or college tests? How many of you take time to organize the essay under proper sub headings & underline the important points?

Well, it took a while for me to understand these simple things. I spent hours and hours writing essays during the tests but didn't spend another 5 or 10 minutes to underline the important points. The result is - I didn't get the grade that I deserved. A teacher or professor evaluates 100s of papers a day. Most of the teachers don't have time to read each and every line from the essays. All they look for is perfect presentation. It just takes an additional 5 or 10 minutes to provide a good presentation. When I mastered this art, I became the class topper.

Since then, I started to strongly believe "Small things make perfection but perfection is not a small thing".

Let me give you an example from my work place. I've seen several colleagues spending hours and hours in the office to complete their deliverables. They even work over the weekends. However, they won't spend another 5 - 10 minutes in sending their status reports or giving a status update to their boss. How would the boss know that you had spent extra hours if you hadn't projected it yourself? Sending a status report is a small thing, but it creates a significant effect on your performance.

How many of you have experience preparing soups? You would've added several ingredients to make your soup delicious. What if you miss to add a pinch of salt at the end? The soup won't be tasty.

Look at our contest speakers/winners - they pay attention to the exceptionally small details which differentiate their performance from others. If you want to be a successful speaker - find out the small things that prevent you from climbing the ladder of success. It may be things like repeated use of filler words, staring at the roof, keeping the hands clasped or keeping a hand in the pocket. Seek feedback from fellow toastmasters and mentors, who’ll make your journey to success shorter and faster.

Let us keep this in mind "Small things make perfection but perfection is not a small thing". Let us try to add "the pinch of salt" that brings perfection to everything we do in our life.

When we were small, we were told "Study hard up to your 12th grade. Once you get into your college, you can start to relax". We completed our 12th grade. But then, folks said "Study well for another 3 or 4 years. Once you complete your college and go to work, you can start to relax". Here we are. We completed our studies and even got into a job. But, we can't relax yet. We are constantly expected to learn/gain new skills in various product/technology areas. No matter which industry we are in, the need to continuously update our knowledge doesn't end. This is true even at Toastmasters. No matter how much proficient we are, we have something to learn in Toastmasters.

Toastmasters provides us an excellent platform to sharpen our communication and leadership skills. Toastmasters provides us myriad opportunities to "sharpen the saw" during club meetings, training events, and during contests. By actively participating in Toastmasters, we are not JUST LEARNING or picking up new skills, but we are INVESTING in ourselves.

What happens to a wood cutter who continues to chop trees without sharpening the saw? Either the saw will break or the wood cutter will get tired soon. The wood cutter will soon reach a point where he cannot cut any more trees. Constantly learning new skills at toastmasters, helps us to stay ahead of the curve. We couldn't find a better place to sharpen our communication/leadership skills than at Toastmasters.

It is time for us to sharpen the saw …

Participate, Practice & Perform


The mantra behind toastmastering is "Participate, Practice and Perform". By actively participating in club meetings and other toastmaster events, we can NOT only learn from our mistakes, but also from others'. Speaking is analogous to swimming. Excellence in swimming is achieved by jumping into the water and not by watching from shore.  Similarly, reading books about communication or watching others talk isn't suffice to improve our communication skills. We need to constantly practice and perform to improve our speaking skills.

3Rs of a Successful Toastmaster

Distinguished toastmasters achieve success, by years of continued hard work and commitment.  I read a story about Socrates recently, which was an eye opener. A young man asked Socrates the secret of success. Socrates told the young man to meet him near the river the next morning. They met. Socrates asked the young man to walk with him into the river. When the water got up to their neck, Socrates took the young man by surprise and swiftly ducked him into the water. 

The boy struggled to get out but Socrates was strong and kept him there until the boy started turning blue. Socrates pulled the boy’s head out of the water and the first thing the young man did was to gasp and take a deep breath of air.

Socrates asked him, "what did you want the most when you were there?" The boy replied, "Air". Socrates said, "That is the secret of success! When you want success as badly as you wanted the air, then you will get it! There is no other secret". Isn't this true for Toastmasters also? We need to have the burning desire to excel in communication and leadership. Burning desire to excel will translate to commitment and consistence which will in-turn guarantee success in Toastmasters.
