You can find below a sample email template that you can use for publishing nominations slate during Club Elections. The nominations slate is published by interviewing the candidates who contest in the elections.

I request all the club members to be present on to select their next set of leaders. At least 51% of the members have to be present to conduct the elections.

Request each member to go through the following pointers:

1. For elections to happen, at least 51% of active members must be present. So DO NOT miss this meeting at any cost. Even if you are not a candidate, surely some day you will lead the club. So you can use this opportunity to observe and cast your valuable vote.

2. Please note that all nominated members can campaign for office (i.e., do propaganda) till mid-night.
Over the past years, we've observed that campaigning, has generated new ideas and creativity on how to run the office. So positive propaganda is encouraged.

3. Though the members listed above are the preferred members since they have been scrutinized by the nomination team, ANY MEMBER in active standing (dues paid) can contest and win from the floor for any post (President to S@A). If you have it in mind to contest from the floor, we suggest you share your details with us now, though it is not mandatory. (Purely for better time management)

4. For positions with more than 1 nomination, each candidate will be given 2 minutes to address the audience. I strongly request the candidates to come prepared and use this time effectively and stick to 2 minutes.

Sample email response to a new toastmasters club chartering request


When you receive a new club lead from a prospective club sponsor, you can use the following email template to start your dialogue. You can initiate a discussion with the prospective club sponsor and help them understand more about the new club chartering procedure.

Contest Master Script - Evaluations Contest


Good morning/afternoon/evening everybody,

I am ________________ contest master for Evaluations Contest. I welcome you all once again.
The purpose of an Evaluation is to motivate the speaker to continually improve, by providing reinforcement for their strengths and gently offering useful advice. Evaluation speech contests provide opportunity for speakers to improve their evaluation skills and to recognize the best as encouragement to all.

The __first and/or second_____ winners will represent our _Club/Area/Division in the Area/Division/District level Contest to be held on dd/mm/yy  at (location, time) ___________________________________.
For this contest, we have ___ contestants. I am sure the audience is going to have some thrilling time listening to some magnificent speech evaluations.

Let me set the rules for the contest.

1.       I request the audience to maintain absolute silence, and no movement during the progress of speech. I once again request ever one to please check and switch your mobile phones, or put them in silent mode.
2.       I request all contestants to handover their mobile phones to the Sergeant at Arms. You may collect this after the contest is over.
3.       No flash photography or recording will be allowed while the contestants are giving their speech. A chance will be given to take photograph during contestant interview.
4.       Once the Contest starts, no one will be allowed to leave the room till the end of last contestant.
5.       Sgt @ arms, once the contestant is on stage, no one will be allowed to come inside the room.
6.The speaking area for the contestants will be …

7.       The time allotted for each contestant to present their evaluation is 2-to-3 minutes. Any contestants who speak less than 1 min 30 sec and beyond 3 min and 30 sec will be disqualified.
The timing device is right in front, and I would request timer to operate the device as I read out the timing signal rules. Green at 2 min, Amber at 2 min 30 secs, and Red at 3 min. Please note that the red signal will be up till the speaker completes his/her speech. No signal will be given to intimate the exceeding of time limit.
8.       Any disqualification with respect to time will be notified at the end of contest, and no names will be announced for the disqualified contestant.
9.       Protests can only be raised by either contestants or judges to Chief Judge to Contest Chair prior to the results declaration.
10.   Judges decision is final.
11.   It is customary that only when the contest master is recognized by the contestant, will he be allowed to sit. Please do recognize me as Contest Master.
12.   One minute silence will be given for judges to mark their ballot. And 2 minutes silence will be given after the last speaker for judges to tally their ballots.

 VP Education                                           , The duties of the Vice President Education are to plan successful meetings to help members achieve their educational goals, orient new members to the Toastmasters program as soon as they join, and monitor members' progress.  President                              , having been elected the President of Club  [1542250] , you're its chief executive officer and will be expected to preside at all club meetings and at all regular and special meetings of the Executive Committee. It's your challenge to see that this Club enables its members to achieve their educational goals. It's also your challenge to see that your Club helps the Area, Division, District, and Toastmasters International to meet their goals. Please accept the gavel as a symbol of your leadership and dedication to office.
                                                                                          
The gavel is a symbol of the power and authority given to you by the membership of this Club. Use it wisely and with restraint. You're a member of your team and a leader. A team is more than a collection of people. It's an emotional force rooted in the feelings, thoughts, and actions of all members with the common goal of achievement, sharing, and mutual support. Work with your team members to create a healthy, dynamic club - a club of which everyone will be proud.
